Refine City Prep Athlete Hub — Privacy Policy

This Privacy Policy explains how Refine City Prep ("RCP," "we," "us") collects, uses, and protects information in the Refine City Prep Athlete Hub (the "App"), available at rcpathleteapp.com. The App is a private tool for enrolled student-athletes, their parents/guardians, and RCP staff.
Information we collect
- Account & profile information — athlete name, date of birth, contact email and phone, address, parent/guardian details, playing level, school, and jersey/team information.
- Health & emergency information — emergency contact, allergies, medical notes, and insurance details that families choose to provide.
- Documents — enrollment agreement, signed liability waiver, insurance card, handbook acknowledgment, and any files uploaded by families or staff.
- Program activity — attendance/check-ins, Rate of Perceived Exertion (RPE) entries, training and game schedules, group assignments, meeting schedules, and messages sent within the App.
- Game film — video links and files that athletes, parents, or staff add for coaching and analysis.
- Technical information — a secure session cookie to keep you signed in, and basic sign-in timestamps.
How we use information
- To operate the academy program — scheduling, attendance, athlete development, load management, documents, and communication between families and staff.
- To send in-app, push, and email notifications about announcements and messages (only if you enable them).
- To keep the App secure and functioning.
Google Drive access (video upload)
When you choose to upload game film using the "Upload to Drive" feature, the App requests permission to your Google Drive using the drive.file scope. This scope is intentionally limited:
- The App can only create and access files that you upload through the App. It cannot see, read, or modify any other files in your Google Drive.
- Uploaded videos are stored in Google Drive and are used solely for coaching, analysis, and player development within RCP.
- You can revoke the App's access at any time at myaccount.google.com/permissions.
Limited Use disclosure: The Refine City Prep Athlete Hub's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, and we do not sell it or transfer it to others except as needed to provide the App.
How information is shared
We do not sell personal information or use it for advertising. Information is shared only:
- With Refine City Prep staff who need it to run the program.
- With service providers that host and power the App: Google (Drive storage and sign-in) and Netlify (application hosting and data storage). Notifications and email may be delivered through push and email service providers.
- When required by law, or to protect the safety of an athlete.
Athletes and parents see only their own athlete's information. Group assignments are for internal staff use only and are not shown to athletes or parents.
Data security & retention
The App uses HTTPS encryption and signed, http-only session cookies. Access is limited to authenticated users, and each user can only view data they are authorized to see. We retain information for as long as an athlete is enrolled and as needed for program and legal purposes.
Children's privacy
The App serves youth student-athletes and is intended to be used with parental/guardian involvement. Parents/guardians set up their own accounts and can review and update their athlete's information. To request access, correction, or deletion of a minor's information, contact us using the details below.
Your choices
- Update your contact and profile information at any time within the App.
- Enable or disable push and email notifications.
- Revoke Google Drive access via your Google Account permissions.
- Request access to, correction of, or deletion of your information by contacting us.
